“Every engagement now looks the same from the inside. That predictability is what let us grow.”
Operations lead, Field & Form
The challenge
Field & Form's delivery was excellent, but every new engagement reinvented its own process. Kickoffs took days to arrange, review rounds drifted, and the three-person ops team was becoming the bottleneck on every sale the studio closed.
The approach
The brief was simple: make starting a project boring. We built three engagement templates — sprint, retainer, and discovery — each with the milestones, file structure, and approval steps the studio already used, just written down for once.
Templates that match how they sell
Sales now hands a workspace link instead of a scheduling request. Clients see their milestones before the kickoff call, so the first meeting starts at decisions instead of logistics.
- Three engagement templates aligned to sold packages
- Automated kickoff checklist and client invitation
- Standard review rounds with named decision-makers
- Handoff archive delivered at project close
The outcome
Kickoff time fell from most of a day to about twelve minutes of setup. The ops team supports twice the client roster with the same headcount, and new producers ramp in days because every project looks the same.
“We stopped hiring producers to manage process and started trusting the process instead.”
